Who is responsible for your data?
Winta's Place is a specialist learning and family-support community for neurodiverse children based in Pejeng, Ubud, Bali, Indonesia. In this policy, “we,” “us” and “our” refer to Winta’s Place as the data controller for information collected through our website, admissions process and day-to-day operations.
What information do we collect?
We collect three broad categories of information:
- Enquiry information — name, email, phone/WhatsApp number and any details you share when you contact us or complete the enrolment form on our website.
- Child and family information — as part of admissions we may collect diagnostic reports, therapy notes, prior school reports, medical and dietary information, and observations from a trial visit. This information is sensitive and is treated with strict confidentiality.
- Website technical information — basic analytics data (approximate location, device, pages visited) collected via first-party analytics to help us improve the site.
Why do we use your information?
- To respond to enquiries and admissions applications.
- To design and deliver an Individual Learning Plan (ILP) for each enrolled child.
- To coordinate care with our internal team and the therapy network.
- To communicate with parents through the parent-teacher app, email, WhatsApp and phone.
- To meet safeguarding, medical and legal obligations.
- To improve our website and services.
Who do we share information with?
We do not sell personal information. We share information with a limited group where necessary and lawful:
- Our team and therapy network — only the professionals directly involved in your child’s care.
- Trusted service providers — for example website hosting, email, the parent-teacher app and payment processors, each bound by their own privacy obligations.
- Regulators and emergency services — where we are legally required, or where a child’s safety demands it.
How long do we keep information?
We retain child, family and staff records only for as long as we need them for education, safeguarding and legal purposes. Enquiry records for families that do not enrol are deleted after 24 months. Enrolment records are kept for the duration of enrolment plus 7 years unless a longer period is required by law.
What are your rights?
You can ask to access, correct, delete or restrict the personal information we hold about you or your child. You can also object to certain uses of your information. To exercise any of these rights, contact us at the email address below and we will respond within a reasonable time.
How do we protect information?
We use reasonable technical and organisational safeguards — role-based access, strong authentication, encryption of data in transit, and a small trusted team — to protect the information you share with us. No system is perfectly secure; we will notify affected families promptly if a breach is likely to place them at risk.
Changes to this policy
We may update this policy from time to time. Material changes will be communicated to enrolled families in writing.
